These terms explain how you may use FormFillPDF, what the tool does and does not do, and the limits that apply when filling and downloading PDF forms.

1. Who we are
FormFillPDF is an online tool available at formfillpdf.com. FormFillPDF is a trading name of John Gleave, a sole trader in the United Kingdom.

2. Acceptance of these terms
By using FormFillPDF, opening a PDF, saving progress, using optional features, making a payment, or downloading a completed PDF, you agree to these terms.
If you do not agree to these terms, you should not use FormFillPDF.
3. What FormFillPDF does
FormFillPDF helps you place visible content onto PDF forms. It is especially designed for flat PDFs, where the form boxes are visible on the page but are not normal interactive form fields.
The tool may allow you to upload a PDF, click visible boxes, type text, add symbols, add checkmarks, draw a visible signature mark, insert images, save progress locally as a .ffp file, and download a completed PDF.
FormFillPDF may try to detect visible form field borders and fit editable boxes to them. Detection may not work perfectly on every PDF, so you should check placement carefully and move or resize entries where needed.
4. What FormFillPDF does not do
FormFillPDF does not provide legal, financial, immigration, tax, medical, professional, court, government or other regulated advice.
FormFillPDF does not review, validate, approve, submit, certify or guarantee any form, answer, signature, document, deadline, court filing or official submission.
FormFillPDF does not decide which fields are required, what answers you should give, whether a form is suitable for your circumstances, or whether a completed PDF will be accepted by any organisation.
You remain responsible for checking the form, your answers, any guidance from the organisation receiving the form, and any submission requirements.
5. Legal, official and sensitive forms
You may use FormFillPDF for legal, official or sensitive forms, but you do so at your own responsibility.
Where a form relates to court proceedings, family matters, housing, immigration, finance, employment, benefits, education, healthcare or another important issue, you should consider taking appropriate professional advice before relying on or submitting it.

6. Signatures
FormFillPDF may allow you to draw a visible signature mark onto a PDF. Whether that signature is acceptable depends on the form, the receiving organisation, the law that applies, and the context in which the document is used.
FormFillPDF does not guarantee that a drawn signature will be legally valid, legally binding, accepted by a court, accepted by a public authority, or accepted by any other organisation.
7. AI grammar and consistency checks
AI grammar and consistency checks are optional review tools. Grammar checks look for surface spelling, punctuation and grammar issues. Consistency checks look for possible typed-answer issues such as repeated words, malformed-looking contact details, inconsistent names, dates, amounts or similar low-risk issues.
AI checks do not provide legal advice, do not draft legal content, do not validate your answers, do not check whether an answer is right for your circumstances, and do not decide whether wording is legally correct.
If you choose to use AI checks, relevant typed text may be sent to a server or third-party AI service for processing. Do not use AI checks for text you are not comfortable sending for that purpose.
AI suggestions and flags may be incomplete, incorrect or irrelevant. You are responsible for reviewing them and deciding whether to make any change.
7A. Dictation
Dictation is optional. Browser speech recognition may be handled by your browser. If browser speech recognition is unavailable or fails, FormFillPDF may use a server-side transcription fallback.
If you choose to use the server-side dictation fallback, short audio snippets may be sent to a server or third-party AI transcription service for processing. Do not use dictation for audio you are not comfortable sending for that purpose.
You are responsible for checking dictated text before downloading, submitting, printing or relying on the completed PDF.
8. Your responsibilities
You agree that you will:
- use FormFillPDF lawfully and only for documents you are entitled to use or edit;
- check all entries, formatting, dates, figures, names, signatures and page alignment before downloading or submitting a PDF;
- keep your own copies of PDFs, downloads and .ffp save files;
- not use FormFillPDF to create, alter or submit false, fraudulent, misleading, unlawful, harmful or unauthorised documents;
- not try to reverse engineer, overload, scrape, abuse, interfere with or bypass payment, subscription, member, AI credit or security systems;
- not upload files containing malware or content that you do not have permission to use.
9. Payments and downloads
FormFillPDF may charge a one-off fee before allowing you to download a completed PDF, or may offer subscriber access for included downloads and extra AI credits. Prices should be shown clearly before you pay.
Payments and subscriptions are processed by Stripe or another payment provider. FormFillPDF does not need your completed form answers in order to process payment.
If you start a subscription, subscriber perks apply while the subscription remains active. You can request cancellation from the account popup; cancellation may take effect at the end of the current paid period unless stated otherwise by Stripe or required by law.
When you pay for a download and day pass, you are asking for digital content and related download access to be supplied immediately. By ticking the download confirmation, you confirm: "I want immediate access to the digital download." Cancellation or refund rights may still apply if the service is faulty, the payment was taken in error, a download failed, or the law requires otherwise.
If you believe you were charged incorrectly or the download failed after payment, contact info@formfillpdf.com with the payment email address, approximate payment time and a short description of the issue. Do not email sensitive completed forms unless we specifically ask for limited information needed to investigate.
10. Refunds and cancellations
We will consider refund requests fairly where there has been a duplicate charge, a technical failure prevented download after payment, or the law requires a refund.
We may refuse a refund where the completed PDF was successfully downloaded and the issue arises from the user's answers, the original PDF, the receiving organisation's requirements, or a decision to no longer use the document.

11. Local saving and data handling
For ordinary form filling and local saving, your PDF can be worked on in the browser and saved locally as a .ffp file. Completed form answers do not need to be stored on the FormFillPDF server as part of ordinary filling.
Optional features may contact a server or third party. These include payment, subscription management, member sign-in, AI checks, dictation fallback, DOC or DOCX conversion, OCR/selectable text processing, PDF password protection, analytics, and any support request you send to us.
A .ffp save file is a local FormFillPDF save format. It is intended to help you continue your work later, but you should keep it secure because it may contain your PDF and form entries.
12. Availability and changes
We aim to keep FormFillPDF available, but we do not guarantee uninterrupted access. The service may be changed, suspended or withdrawn for maintenance, security, legal, commercial or technical reasons.
Features may change over time. We may update detection, AI checks, dictation, payment, saving, download, member or admin features without notice.
13. Accuracy and compatibility
PDF files can vary significantly. We do not guarantee that every PDF will open, render, detect fields, preserve layout, download, print or display in the same way in every browser, PDF viewer, printer or receiving system.
You should always open and check the downloaded PDF before relying on it.
14. Limitation of liability
Nothing in these terms limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or consumer rights that cannot legally be excluded.
Subject to that, FormFillPDF is provided as a form-filling tool. We are not responsible for losses caused by incorrect answers, missed deadlines, rejected forms, legal or professional consequences, user error, unsuitable PDFs, third-party systems, payment providers, AI suggestions, browser behaviour, loss of local files, or failure to check the completed PDF.
Where the law allows, our total liability for a paid download is limited to the amount you paid for that download.
15. Intellectual property
FormFillPDF, its interface, code, branding, design and website content belong to FormFillPDF or its licensors. You may use the service for its intended purpose, but you may not copy, resell, reproduce, modify, reverse engineer or exploit the service except where lawfully permitted.
You retain responsibility for the PDFs and content you use with FormFillPDF. You must have the rights or permission needed to upload, edit, save or download any document you use with the service.
16. Termination or refusal of service
We may restrict, suspend or refuse access to FormFillPDF where we reasonably believe there has been abuse, attempted abuse, unlawful use, security risk, payment misuse, excessive automated use, or breach of these terms.
17. Changes to these terms
We may update these terms from time to time. The version shown on this page applies when you use the service. If a change is significant, we may take reasonable steps to bring it to users' attention.
18. Governing law
These terms are intended to be governed by the laws of England and Wales, unless consumer protection law gives you mandatory rights in another country or part of the United Kingdom.
